Club Policies & Booking Rules
Court booking and walk-up play rules for all members
All four courts at Forest Hill Tennis Club are operated under FHTC rules and policies. Shirts must be worn at all times.
Court Layout
- Courts 1, 2 & 3 — Available for online booking by members
- Court 4 (North East) — Members only walk-up play, first come first served, no reservations
Online Booking Rules (Courts 1, 2 & 3)
- Court bookings are available 7 days in advance of the court time.
- Courts can only be booked by members for play with other members. Members playing with guests should use Court 4 (walk-up).
- Online booking times are 60 minutes:
- Monday – Friday: 5:00 PM – 10:00 PM (on the hour)
- Saturday: 8:00 AM – 10:00 PM (on the hour)
- Sunday: 8:00 AM – 6:00 PM (on the hour)
- Courts can be booked up to one minute before start time. After the start time, the court becomes available on a first-come basis.
- No phone reservations. All bookings must be done online.
- Have your phone ready with your email confirmation as proof of reservation.
- If no supervisor is present, members must respect other members' reservations and allow reserved players onto their court at the booked time.
- When booking, you must specify your playing partner(s).
- No back-to-back bookings using the same name or partners who played the previous slot.
- A booking is for the full 60 minutes. If you arrive late, you still have the court until the end of your booked slot.
- You must be ready to play at your booked time. If your court is still occupied by members without a booking, politely let them know you have a reservation.
- If a court is reserved but the booking party has not arrived within 10 minutes, the court becomes available on a first-come basis.
- Members must keep track of their bookings each week. If you can no longer make a booking, you must cancel by the following deadlines to avoid penalty:
- Weekdays (Mon–Fri): Cancel by 5:00 PM the same day
- Weekends (Sat–Sun): Cancel by 9:00 AM the same day
Only the member who made the booking is responsible for cancelling it.
- The players on court must match the names in the booking. If they do not, the court will not be given.
- Members can only book court time for themselves — you cannot book on behalf of someone who is not playing with you.
- If a member is included in another member's booking, that counts toward their maximum bookings per week.
- No member may book two courts at the same time using different accounts.
- Singles play is permitted on booked courts. You do not need four players to reserve.
- Members must check in with the court supervisor upon arrival when one is present.
- For league matches that are unfinished due to a booking on the same court, play should continue on Court 4 if available. Online reservations take precedence over unfinished league matches.
- Court 3 is available for both member bookings and lessons booked by the club's tennis coaches.
- On days with rain or potential rain in the forecast, members should still cancel bookings as a courtesy. However, no penalties will be issued for missed bookings or late cancellations on rain days.
- Court bookings during public access hours (Sunday 6–10 PM) are not available. Courts are first come, first served during public hours.
- The club reserves the right to modify booking rules during the season. Updates will be communicated by email and posted on the website.
Cancellation & No-Show Policy
To ensure courts are available for all members, a strike system is in place for late cancellations and no-shows.
How strikes are issued
- Late cancellation (after the same-day deadline) — 1 strike
- No-show (did not appear for a booked court) — 2 strikes
| Strikes | Consequence |
|---|---|
| 4 | Written warning |
| 6 | Booking privileges suspended for 1 week |
| 8 | Booking privileges suspended for 2 additional weeks |
| 10 | Booking privileges suspended for 4 additional weeks |
| 12 | Booking privileges suspended for 5 additional weeks |
| 14 | Booking privileges suspended for the remainder of the season |
Strikes do not apply on rain days (see booking rule above).
Walk-Up Play Rules (Court 4)
- Court 4 is limited to 40 minutes of play when courts are busy and there is a waitlist.
- If the courts are busy when you arrive, let the supervisor know so they can add you to the waitlist. The supervisor will let you know when a court is available.
- At least two players must be physically present at the club to be placed on the waitlist.
- A single player may use the court to practice alone when courts are not busy. If there is a waitlist, priority goes to groups of two or more.
- After being taken off the court due to the time limit, players must wait 10 minutes before rejoining the waitlist.
- Guests are welcome on Court 4. The $15 guest fee applies.
- If no supervisor is present, the waitlist is managed by members placing their racquet on the fence sticks outside the north courts and waiting their turn. The 40-minute playing time still applies when others are waiting.
- Court 4 is available during all club hours including public access times.
- The club reserves the right to modify walk-up rules during the season.
League Matches on Court 4
- Regular season singles league matches on Court 4 may continue past the 40-minute limit if either player has won at least 5 games. If neither player has reached 5 games, the supervisor may take them off the court and place them on the waitlist to finish when a court becomes available.
- Singles league playoff matches and all doubles league tournament matches on Court 4 may play to completion with no time limit, even if there is a waitlist.
- If a playoff or doubles tournament match on a booked court is unfinished when the reservation ends, the match moves immediately to the front of the Court 4 waitlist (no 10-minute wait) so it can be completed the same day.
